Handling of Personal Information

The Telecom Service Association (hereinafter referred to as “the Association”) operates this website
(https://www.telesa.or.jp) in full consideration of privacy protection in accordance with the personal
information protection policy described below.

1. Collection and Use of Personal Information

This site may record the name, email address and other identifying personal information (hereinafter referred to
as “personal information”) of those who have previously registered as members (in the case of companies, this
includes all its executives and employees, and the same shall apply hereinafter) and, to the extent that they
have mentioned this information, also those who have sent questions or comments regarding the Association’s
activities. Regarding those who have sent questions or comments, we may ask for further information to confirm
the meaning of the question or comments, but we will handle only the minimum information required in relation to
the activities of our Association.

The Association may send post or emails to those who have previously registered, such as the association’s
members, to inform them about the association’s activities. You can stop the sending of such information by
contacting the Association.

On this site, information such as IP addresses that is automatically received from the browsers of persons
accessing the site is recorded on the server. However, this information will not be combined with other
information to survey the personal information of those who access this site. However, this does not apply in
the case of attempted fraud against the site.

2. Provision of Personal Information

Personal Information will be handled only by the Association’s employees, and in the case that the protection,
management, and maintenance of servers containing data that includes users’ personal information is commissioned
to third-party operators, the obligation to handle personal information appropriately so that it does not leak
shall be stipulated in the contract. We will not provide your personal information to third parties for purposes
other than those commissioned for without your consent. However, personal information may be disclosed to third
parties to the extent deemed necessary in accordance with laws and regulations in the following cases:

  1. When inquiries are received from police officers, prosecutors, public prosecutors, national tax officials,
    drug enforcement officers, bar associations, and bodies such as courts which have the legal authority to
    inquire.
  2. When the user commits misconduct and is deemed necessary to protect the Association and other users
  3. If the Association deems that there is an urgent necessity to protect a person’s life, safety, or assets
    from imminent danger.

In the event that the Association discloses the user’s personal information to a third party with the consent of
the user, the obligation to handle users’ personal information appropriately so that it does not leak shall be
stipulated in the contract.

3. Storing of Personal Information

The Association shall be able to store personal information to the extent deemed necessary for the proper
activities of the Association, but shall erase personal information after a period specified by the Association,
unless specified otherwise at the time of collection. However, even after the retention period stipulated by the
Association has passed, the information shall not be erased if it must be preserved in accordance with the
provisions of laws and regulations.

4. Safety Measures

The Association will restrict access to servers containing personal information by performing authentication
using specific user IDs and passwords for relevant staff members, such that no-one other than the Association’s
employees can access them. Moreover, we shall manage facilities such as servers taking due care that personal
information is not leaked due to unauthorized external access.

5. Revision of the Personal Information Protection Policy

The Association, in addition to adhering to the relevant laws and regulations on the protection of personal
information, shall revise and improve this Personal Information Protection Policy as necessary. In the event
that revisions or improvements to this Personal Information Protection Policy are made, they will be published
promptly on this site.

6. Inquiry Desk

For inquiries, corrections, deletions, etc. of personal information held by the Association, the person to whom
the personal information pertains should contact the inquiry desk. We will respond promptly to reasonable
requests. If you have any questions or comments about the Association’s handling of personal information, please
